We have an opening for a Records Admin Clerk!

While administrative in nature, this role acts as a vital component to the Records Department by ensuring that records are readily accessible and easy to locate. More so, this role provides continuous updates and maintenance for all incoming work within the department. Much like a well-oiled machine, our Records Admin Clerk ensures that the department is running efficiently within itself.

Our ideal candidate has strong communication skills including the ability to interact and engage with both internal clients and external municipal contacts, possesses excellent organizational skills, and has experience reading and understanding asset records.

What You Will Do (Responsibilities):

  • Track all incoming aslaids and field notes for mains and services on the appropriate Records Tracker internal spreadsheets.

  • Assign all Plottable work requests to the Records Quality Assurance (QA) Supervisor for assignment and maintains the contractor daily plotted report which is sent to the QA Supervisor.

  • Manage requests to send Enbridge aslaid drawings and field notes requested by Municipalities with valid Franchise Agreements.

  • Monthly sending of all aslaids to the City of Ottawa and the City of Toronto per the Franchise Agreement.

  • Assign Records Correction Requests to the appropriate Coordinator or CADD Tech for corrections of all records types.

  • Filing of completed files, and maintaining the files in the Records Filing Room and the GABS room in the basement.

  • When issuing reviews with the Project Admin Clerk, maintain a log of Service Reviews.

  • Maintaining MTR Records of heat numbers and logging.

  • With

the appropriate approvals, order department supplies monthly.

  • Provide additional support to the Records Coordinators and/or Records Quality Assurance team within the incumbent's job range and ability.

  • Who You Are (Qualifications):

    You will have the following combination of education and experience:

    • A minimum secondary school education or equivalent.

    • Superb organizational skills with the ability to work independently while using good judgment in order to meet required timelines.

    • Proven knowledge of iViewer/ Document Tracker, Maximo, eGISweb.

    • Excellent knowledge of Microsoft Office Suite products such as Outlook.

    • Excellent communication and interpersonal skills with the ability to articulate and interpret information.

    • Able to prioritize multiple tasks with a focus on results.

    • Ability to work independently or within a team with a minimum of supervision.
