Accounting Clerk - 100% Permanent

Secretary Treasurer's Department

This is a full-time, 12 month, ongoing position in the Accounting Section of the Secretary-Treasurer’s Department. Under the supervision and direction of the Controller and working closely with other Accounting Clerks, the Accounting Clerk II is responsible for processing and distributing accounts payable cheques; maintaining spreadsheets for substitute teacher costs; mailing/distributing payroll cheques and direct deposit stubs; maintaining Division parking lot records; and other various general accounting duties.

Responsibilities may include but are not limited to:
  • Process and distribute Accounts Payable cheques on a weekly basis, mail/distribute to various department staff; scans payment copies and support for electronic storage
  • Prepare journal entries for the Accounting Department; loads journal entries into the general ledger
  • Maintain spreadsheet for recording substitute release time, preparing monthly journal entry, sorting short leave forms that require invoicing
  • Assigns general ledger codes on substitute EA timesheets
  • Data entry of invoice and journal entry batches into the general ledger
  • Maintain an Excel spreadsheet of parking payroll deductions; performs calculations for parking fee refund requests; sends out letter to schools/buildings with information on annual parking costs
  • Scan journal entries, accounts receivable invoices and quick pay transactions for electronic storage
  • Submit vocational equipment grant claims to the Department of Education
  • Prepare Schools’ quarterly GST rebates payments and assist with school year end procedures
  • Perform a variety of miscellaneous accounting duties including reconciling general ledger accounts, bank reconciliations and bank transfer requests; and other duties as assigned

Qualifications:
  • Completion of secondary education with 1-2 years of office experience and coursework/training relevant to accounting and/or business administration
  • Proficient in Microsoft Office Word and Excel at intermediate level is required
  • Typing speed of 45 wpm is required
  • Knowledge of basic payroll transactions is an asset
  • Knowledge of and experience using Division software would be an asset
  • Knowledge of Division policies, procedures and collective agreements is an asset
  • Experience working well in a team environment
  • Ability to work independently, with minimal instruction or guidance, and as a team member
  • Strong verbal and written communication skills and proven ability to interact effectively and tactfully with co-workers, individuals from other departments, schools, and outside organizations
  • Ability to successfully multi-task in an environment with multiple interruptions, time pressures and tight deadlines
