Job Summary: Under the general supervision of the Secretary to Director - Human Resources, provides general administrative support, secretarial services, and basic human resources coordination functions for the Human Resources Department.

Duties may include:

· Providing administrative support to ensure efficient operation of the Human Resources office, including word processing, photocopying, scanning, filing, data entry, fax and mail services

· Receiving and responding to telephone calls, answering general as well as complex and sensitive inquiries and assisting staff and visitors

· Preparing and posting job bulletins; maintaining records of successful applicants

· Processing online applications

· Managing new and returning substitute teacher applications by processing applications, preparing contracts and related documentation, and arranging for signing and distribution

· Preparing teacher contracts and answering related inquiries

· Updating the Human Resources Information System with new or changing employee data, completed performance assessments, compiling data, preparing and generating reports, and

creating and maintaining divisional databases

· Preparing and managing employee files; required documentation follow-up and recording

· Managing Child Abuse Registry and Criminal Record applications for employees and volunteers


·Education and experience:

o At least 1 year of administrative experience, a high school diploma and some formal training in office administration OR an equivalent combination of experience and training

o Experience with online job posting is an asset

o Experience with human resources functions, procedures and policies, and collective agreements is an asset

· Communication and interpersonal skills:

o Strong written and verbal communication skills

o Superior ability to work cooperatively and harmoniously with staff and management and deal effectively with the public

· Computer skills:

o Solid Microsoft Office skills (Word, Excel and Outlook)

o Word processing (minimum of 45 w.p.m.)

o A working knowledge of Microsoft Teams is an asset

o Experience with CIMS Core and Connect, or with other HR information systems, is an asset

· Organization and time management:

o Demonstrated organizational and time management skills with the ability to prioritize and multi-task in a high-volume environment

o High degree of initiative

· External applicants must supply a Criminal Record Search and a cleared Child Abuse Registry check upon hire
