Job Description

COHO Management Services has been providing property management for housing co-operatives since 1984. The Administrative Assistant is responsible for the provision of administrative support, member recruitment support, maintenance co-ordination and support, and other related assignments for the co-op.

Administrative Support

• Answer telephone and take member inquiries • Process A/R and A/P • Provide word processing and other computer support • Maintain co-op records and prepare correspondence • Maintain adequate inventory of office equipment and

supplies • Prepare minutes • Direct members and actions to appropriate committee • Assist in annual, corporate and government filing and reporting


• Prepare cheques • Make bank deposits • Assist in preparation of monthly financial packages including bank reconciliation, income register, and cheque register • Assist in preparing and submitting property taxes • Complete income verification

Member recruitment support

• Assist in co-op marketing, including advertising and organizing co-op orientation sessions • Undertake credit and landlord checks • Assist in move-in and move-out unit inspections • Assist and co-ordinate interviewing of prospective members • Co-ordinate and administer move-in and move-out process • Process necessary documentation for new members

Maintenance co-ordination support

• Process work orders • Schedule trades and maintenance technician • Administer work order tracking system • Maintain inventory of maintenance equipment and supplies • Administer service contracts


  • Perform other related duties, as required to assist the co-ordinator
