Project Administrator – Multi-Family Residential Construction

Shane Multi-Family is the multi-family division of the Shane Homes Group of Companies. Shane Multi-Family is constructing premier apartment style condominiums in communities throughout Calgary and Airdrie. There is an opportunity to join Shane Multi-Family’s expanding construction team with 100% customer satisfaction being the top priority.

The successful candidate in this challenging and rewarding position will be an enthusiastic, multi-tasking individual with excellent organizational and communication skills to work in a fast pace environment. A minimum of 1-3 years Project Administration experience within the multi-family apartment residential construction industry is a necessity. The successful candidate must work well with peers as well as trades and suppliers. Excellence in Microsoft Excel, Word and Outlook is a requirement.

Job Summary:
Organizes and coordinates activities related to Project Administration for assigned Construction Projects by performing multifaceted duties with the Project Manager(s) and Project Coordinator(s) – mainly office position.

Key Duties and Responsibilities:
Includes, but not limited to the following:
  • Work closely with and assist the assigned Project Manager(s) and Project Coordinator(s) with day to day duties of project construction with focus on administration and accounting
  • Maintain and track as applicable all project documentation, including plan and specification coordination, scopes of work, tender documents, estimates, trade contracts, contract changes, purchase orders issued
  • Assist in writing, compilation and distribution of trade contract
  • Develop and maintain contact lists for both Outlook and specific group contact lists
  • Assist the project team with development of safety forms and administration
  • Prepare new project files for office and site offices
  • Perform photocopying, scanning and printing assignments as required
  • Coordinates, attends, records and distributes meeting minutes as required for the project
  • Ensure milestone and deadline dates are established and enforced relative to activities and responsibilities
  • Ensure compliance with company policies, safety standards and quality standards

  • Essential Requirements:
    • Ability to manage multiple urgent requests and rapidly changing priorities
    • Ability to work in a team environment as well as independently while assuming responsibility
    • Superior communication and strong writing skills are a must with the ability to represent the project team in a professional manner
    • Attention to detail in document accuracy with additional traits of patience, focus and willingness, to ensure that quality is never compromised
    • Excellent organizational skills
    • Excellent proficiency in computer systems and software, including MS Excel, MS Word and Outlook
    • Valid driver’s license
